Creative Process
Our event decoration workflow follows a structured sequence from initial consultation through final installation. Each phase includes specific deliverables and documentation.
Initial Consultation
Discussion of event requirements, space dimensions, visual preferences, and functional needs. We gather information about the event format, guest count, venue characteristics, and style direction.
Consultation can be conducted in person at the venue, at our studio, or remotely via video call. We document all requirements and preferences for reference.
Space Analysis
Evaluation of the event space including measurements, lighting conditions, access points, and structural considerations. We assess wall conditions, floor surfaces, and installation constraints.
For photo zones, we analyze photography angles, background requirements, and lighting needs. Space analysis informs material selection and installation methods.
Design Proposal
Development of visual concept based on consultation and space analysis. The proposal includes material recommendations, layout plans, color schemes, and style direction.
Proposals can include visual mood boards, material samples, and written specifications. We present options for different approaches and discuss trade-offs between alternatives.
Approval & Refinement
Review of the design proposal with adjustments based on feedback. We refine material selections, layout details, and installation specifications.
Once approved, we finalize material lists, dimensions, and installation timelines. All specifications are documented for execution.
Material Preparation
Sourcing and procurement of materials, props, and installation components. We coordinate with suppliers, inspect materials for quality, and prepare components for installation.
Materials are organized and labeled according to the installation plan. Portable components are prepared for transport to the venue.
Pre-Installation
Preparation work including material cutting, frame pre-assembly, and component organization. We verify all materials and tools are ready for on-site installation.
For complex installations, we may conduct test assemblies in our studio to verify dimensions and assembly methods.
On-Site Installation
Execution of the installation at the venue according to the approved plan. We coordinate with venue staff, handle access and timing, and execute the installation systematically.
Installation includes frame assembly, backdrop mounting, prop placement, and styling adjustments. We work efficiently to complete installation within the scheduled timeframe.
Final Styling
Adjustment and refinement of decorative elements, prop positioning, and overall composition. We make final adjustments to achieve the intended visual result.
Lighting is calibrated, materials are tensioned and smoothed, and all elements are positioned according to the design plan.
Documentation
Photography of the completed installation and preparation of documentation including material lists, maintenance guidelines, and disassembly instructions for portable setups.
We provide documentation for future reference and for clients who may need to maintain or adjust installations independently.
Timeline Considerations
Project timelines vary based on complexity, scale, and material availability. Simple installations may require one to two weeks from consultation to completion, while complex projects may require four to six weeks.
We recommend initiating consultation at least three to four weeks before the event date to allow adequate time for design development, material sourcing, and installation scheduling.
Communication
Throughout the process, we maintain communication regarding progress, material availability, and any adjustments needed. Clients receive updates at key milestones and can request modifications during the design phase.
For installation day, we coordinate arrival times, access requirements, and any venue-specific considerations. Post-installation, we are available for questions and minor adjustments.
